How to do it
- Activate Hubdoc from your Xero account (it's included with eligible Xero business plans) and install the mobile app.
- Connect Hubdoc to your Xero organization so documents publish across.
- Set your personal rule: photograph paper receipts before they enter a pocket or drawer.
- Forward email bills to your unique Hubdoc email address.
- Publish to Xero with the right account code; Hubdoc remembers supplier settings, so coding gets faster over time.
- Match during reconciliation, the bank line and the document pair up.
Common mistakes
- Batching a monthly "receipt day", receipts get lost in the gap; capture at the moment of purchase
- Capturing into Hubdoc but never publishing to Xero, creating a second backlog
- Ignoring the email-in address, which handles digital bills with zero effort
